Inbox Zero
Inbox Zero
Inbox Zero
Inbox Zero promises peace of mind. In practice it often delivers burnout. Here is the realistic version.
The problem with traditional Inbox Zero
The original Inbox Zero method (from Merlin Mann) says: process every email to zero each day. Delete, archive, delegate, or do it right now. It sounds great until you notice that most emails need two or more days of follow-up, and they will not fit into a 10-minute batch.
The realistic alternative: inbox managing
Instead of zeroing the inbox daily, aim for inbox managing:
- Process email in scheduled batches, not constantly
- Keep a "processing" folder, not just "unread"
- Allow some backlog; three to five unread is fine
- Focus on actionability, not emptiness
The 10-10-10 rule (from Day 37)
For each email, ask:
- Will this matter in 10 minutes?
- Will this matter in 10 months?
- Will this matter in 10 years?
If the answer is no to all three, archive or delete it right away.
Batch processing tips
- Morning batch (15 min): clear overnight email
- Afternoon batch (10 min): handle same-day replies
- Friday batch (20 min): clear the weekly backlog
- Do not check email before your first batch
The psychology
Inbox anxiety comes from the Zeigarnik effect: unfinished tasks keep circling. Constant email checking fragments your focus. Scheduled batches give you both closure and focus time.
